A quote elsewhere of "Coorg 265 km × ₹per km" is a one-way figure. A 2-day Coorg charter bills 700 km minimum (350 km × 2 days), two days' bata and tolls. We show that arithmetic on every quote.

Event-day city hire is cheaper

Venue shuttling inside the city runs few kilometres, so a 40-seater AC coach on an event day is ₹6,000 – 10,000, not the outstation per-km card. Ask for the event tariff.

Permits & inter-state tax

Crossing a state border changes the quote. Here is why.

Bengaluru's best getaways cross into Tamil Nadu, Kerala and Goa, so the permit a bus carries is a real cost line, not a footnote.

Karnataka contract-carriage permitThe base permit every hired bus in the state must carry. Karnataka cut contract-carriage and sleeper road tax in 2026 to stop fleets registering out of state.

All India Tourist Permit (AITP)₹3,00,000 a year (₹90,000 a quarter) for a 22-plus seat coach, plus a ₹1,000 authorisation fee. A bus on a valid AITP should not pay extra state entry tax — though check-post enforcement varies.

Entry tax without AITPKerala ₹18,000 – 35,000, Goa ₹15,000 – 30,000, Andhra / Telangana ₹20,000 – 40,000 for a 35 – 50 seat bus on a short entry — indicative ranges, confirmed on the written quote.

What does a 45-seater bus cost per km in Bangalore?

A standard 45-seater AC bus in Bengaluru costs ₹48 to ₹65 per km on outstation trips with a 350 km per day minimum, or ₹15,000 to ₹18,000 for a local 8-hour / 80-km package. Add driver bata of ₹800 to ₹1,000 per day, and tolls and parking at actuals. A BharatBenz 45-seater runs ₹60 to ₹70 per km and a Volvo ₹65 to ₹70.

How much does a monthly employee transport contract cost in Bengaluru?

A dedicated 30 to 50 seat AC bus on a monthly employee-transport contract costs ₹1,40,000 to ₹2,00,000 per month, an 18 to 21 seat minibus ₹85,000 to ₹1,20,000 and a 12 to 26 seat tempo traveller ₹65,000 to ₹80,000. Contracts usually run 12 to 24 months and include fuel, driver and maintenance; tolls and parking are billed at actuals.

Should I take the 5% or the 12% GST invoice?

Passenger transport can be invoiced at 5% GST without input tax credit or at 12% GST with input tax credit. If your company claims ITC, the 12% invoice usually costs less net; that is why most corporate finance teams ask for 12% with ITC. Tell us which you want on the PO and we bill accordingly.

How much time do you allow for a BLR airport pickup?

Kempegowda International Airport is about 35 km from the city centre: roughly 45 minutes off-peak and 90 minutes or more in the evening peak. From Whitefield it is about 55 km and from Electronic City about 60 km. For conference arrival days we plan a 2-hour buffer and stage coaches at the terminal ahead of the wave.

What is the minimum km per day on an outstation bus hire?

Outstation charters bill a minimum of 250 km per day for tempo travellers, 300 km for minibuses and 29 to 40 seat buses, 350 km for 45 to 50 seaters and 400 km for sleeper coaches, measured garage to garage. A 2-day Coorg trip therefore bills 700 km even though the round trip is about 530 km.

What does it cost to take a bus from Bangalore into Tamil Nadu?

A bus on a valid All India Tourist Permit should not pay additional Tamil Nadu entry tax, although check-post enforcement varies. Without AITP, Tamil Nadu charges roughly ₹650 per seat for a short-duration entry, which works out near ₹23,000 for a 35-seater, ₹29,000 for a 45-seater and ₹32,000 for a 49-seater. We confirm the exact figure on your written quote.

How much advance do you take?

We ask for 20% to confirm a local booking and 20 to 30% for outstation and multi-day charters, with the balance before departure. Corporate clients can book on a purchase order against a proforma invoice, and monthly employee-transport contracts are billed in arrears on agreed terms.

Volvo or BharatBenz for a 45-seater — which should I pick?

A BharatBenz 45-seater costs ₹60 to ₹70 per km or ₹17,000 to ₹19,800 for a local day; a Volvo ₹65 to ₹70 per km or ₹17,000 to ₹18,000. Choose Volvo for 500 km plus runs such as Goa or Hampi where suspension comfort matters; choose BharatBenz for offsites within 300 km where it saves around 10%. Both carry a 350 km per day minimum.
